Install

Go to http://zip-doc.com/download

Click link for Apple App Store or Google Play

If you choose to search for ZipDoc on your mobile device, ZipDoc and you will see an entry that says ZipDoc.
For iOS users, yes, you will need an Apple ID account to download ZipDoc. To help you out, click here to sign up. Once completed, return to http://zip-doc.com/download and you will be ready to start using ZipDoc!

Registration

Once ZipDoc is downloaded, go to your home screen and open ZipDoc by tapping on it

Choose sign up

Enter the following fields:

  • Your Email Address
  • Medical Specialty
  • Your Password
  • Confirm Password

Tap on Register

Next, you will be taken to the Profile page

Enter the following fields: First name, Last name

Select the circle next to your name and you will be given an option to choose an existing image, take a picture or cancel

Select Your security question

Enter in Your security answer

Choose Confirm

Next you will be taken to the Verify Account page

Enter in your mobile device phone number

Choose Send Confirmation Code

You will receive an SMS message

  • Open this SMS message and retrieve your confirmation code
  • Enter in your Confirmation Code
  • Choose Confirm Account

Note: if you did not receive a confirmation code, select the tab to Resend Confirmation Code and follow the instructions above

SUCCESS, welcome to ZipDoc. Your registration is completed

You will know your registration is successful when you automatically arrive to Chats.

Contacts

How do I invite users?

How do I invite users?

Select this icon within the blue navigator at the bottom of the screen *show the icon for contacts

This will access your contacts list from your mobile device

You will now have two ways to invite user(s)

Invitation process #1

  • Scroll your directory of users and select one user at a time
  • Next you will see the users contact information (email address(s), phone number(s) to make sure this is the correct intended invitee.
  • Next look in the top right corner and select this tab *show the icon for the + button
  • Next you will be given an option to choose either a mobile number or email address to deliver the invitation request.

Invitation process #2

  • Select the icon the in the top right corner of the screen. *show the icon for this, person with + sign by head
  • You can either enter in someone’s email address or mobile phone number.
  • Next tap Invite User and an invitation will be delivered to.

How do I hide users who are not registered with ZipDoc?

Select this icon within the blue navigator at the bottom of the screen *show the icon for contacts

  • Select individuals in your directory who would like to hide.
  • Select the tab which allows you toggle on or off to Hide from Contacts list
  • When you go back to your Contacts list you will notice that individual still shows on your list but the font is lighter.
  • If you do not think you will be inviting this user anytime soon and want to clean up your Contacts list, then select the icon in the top left corner *show the icon for this. You will then be given an option to Hide hidden contacts which will remove them from your ZipDoc directory. If you want to show hidden contacts in the future, simply choose Show all contacts.

Chats

How do I begin chatting? Can I chat in a group?

Select the icon in the top right corner of the screen. *show the icon for this

You will be taken to the New Chat screen

  • Here you will see your phone directory. You can select user(s) who are already registered with ZipDoc as well as those who are not. If you choose users who currently have not registered to use ZipDoc, they will receive an invite notification
  • You can select user(s) by highlighting names in your directory, or manually enter their name in the search field, or select the invite tab *show the icon for this, and enter either an email address or mobile phone number.
  • Once you have selected your recipients, you can begin typing your message at the bottom of the screen and hit the blue arrow tab *show the icon for this to send the message.”chat”, “chatting”, “group chat”, “chatting in a group”, “how do i”

Can I send a chat message with attachments?

Yes, choose the plus tab next type your message  *show the icon for this and you will be able to take a photo or select an attachment from your device.

What is Go To Chat Room?

Go To Chat Room is an option where you can have a meaningful conversation in Chat with recipients of an incident which has been created.

After an incident is created, you can select the tab at the bottom which says go to chat room.

If you are the one who created the incident, then you can add more recipients in the CC: section to chat about that particular incident

Conversations in Go To Chat Room become a part of the record for that particular incident

Incidents

What is an incident?

An incident (transitions of care message) is a patient record which has demographic information as well either an audio file or both audio/transcription file which has additional patient health information. This is stored and retrievable in the ZipDoc encrypted cloud.

This record is created by you the user which can be sent to one or more recipients in real time.

How do I create an incident?

Select this icon within the blue navigator at the bottom of the screen *show the icon for this

  • Select the icon in the top right corner of the screen *show the icon for this
  • Choose your primary recipient in the To: field by either typing the recipient name in the search field or by scrolling your directory. If the recipient is not in your directory then select this icon *show the icon for this, person with + sign by head.
  • You can either enter in someone’s email address or mobile phone number.
  • Next tap Invite User and an invitation will be delivered to.
  • Next you can choose to send this incident to more than one recipient by performing same step for the CC: field.
  • Once completed choose Next in the top right corner of the screen.
  • Here you will select an action and enter in some basic patient information.
  • Once completed choose Next in the top right corner of the screen.
  • You will see a template appear based on the action you chose from the previous screen.
  • Make sure to keep your phone microphone near your mouth and ideally be in a quiet area and tap on the microphone *show the icon for this
  • You will see a countdown and when ready follow the directions above your template. Make sure to speak clearly and slowly. You will be asked to state each component typed in white followed by the information you would like to share which is associated to that heading.
  • Once you are satisfied with the message you can choose the pause button *show the icon for this and choose the submit button in the top right corner of your screen *show the icon for this

If you would like to replay the incident then select pause and choose this tab *show the icon for this

  • Within this functionality you can do the following:
  • Choose play and pause *show the icon for this
  • Choose record from a pre-determined location *show the icon for this
  • Choose start over the recording *show the icon for this

Profile

How do I add my profile picture?

Select this icon within the blue navigator at the bottom of the screen *show the icon for this

  • Select the section with your name, email address and mobile phone number.
  • Next you will select this icon *show the icon for this.
  • Next you will select this icon *show the icon for this.
  • You will then choose and existing image or take a picture.
  • Choose Save.
  • Next you will be asked to enter your password to make changes to your setting.

How do I change my specialty?

Select this icon within the blue navigator at the bottom of the screen *show the icon for this

  • Select the section with your name, email address and mobile phone number.
  • Select the section where your current specialty is listed.
  • Next select a new specialty.
  • Choose Save.
  • Next you will be asked to enter your password to make changes to your setting.

How do I change my security question?

Select this icon within the blue navigator at the bottom of the screen *show the icon for this

  • Select the section with your name, email address and mobile phone number.
  • Select the section: Change your security question.
  • Select your security question.
  • Select your answer.
  • Choose Save.
  • Next you will be asked to enter your password to make changes to your setting.

How do I change my password?

Select this icon within the blue navigator at the bottom of the screen *show the icon for this

  • Select the section with your name, email address and mobile phone number.
  • Select the section: Change your password.
  • Choose next on Password Recovery screen.
  • Answer your security question on Password Recovery screen.
  • Next open your email to find a recovery code and enter this in the appropriate field.
  • You can now choose a new password and select Reset Password.

What is Pin Code?

Choosing this toggle will ask you to set a four-digit PIN. Once created, the next time you exit ZipDoc you will be asked to either enter this four-digit PIN or use Touch ID to access ZipDoc.

What is Blocked Users?

If you have blocked any invitations, this is where those user(s) are listed. You can unblock and re-invite the user(s).
